Repaving MaineStreet Survey Results
The project team recently distributed a survey to all employees to gauge awareness of the Repaving MaineStreet initiative, find out what we can do to help prepare the university community for upcoming changes and learn how to best share information and collect input about the initiative. Over 450 people participated in the survey, and the team is grateful to all who took the time to provide their input. Some key takeaways from the survey include:
- Initiative awareness: 85% of respondents are aware of the initiative.
- Pace of Change: Almost 60% said the pace of change is Too Slow, which is a good indicator of readiness for organizational change.
- Communications frequency: 51% indicated they want to receive communications about this initiative more frequently.
- Communications content: About 50% indicated the current content of Repaving MaineStreet communications is Just Right.
- Focus Group participation: 33% said, Yes, they would participate. For anyone who did not have a chance to indicate interest, you can volunteer for a focus group using the project input form.
What’s happened since the last update?
Oracle Cloud Human Capital Management (HCM) HR project
HR representatives from across the system participated in the initial round of the HCM (HR) application review and self-guided review sessions. Starting with the self-guided review sessions, HR participants were given access to the HCM Cloud development environment to test processes and identify where configuration and data adjustments are required. The review sessions are also helping the team identify where training and change management strategies are most needed.
Considerations are underway to extend the HCM timeline from January 2024 to July 2024. The extension will support standardizing cross-module processes and data, allow time to make important business decisions and enable the HR and Finance modules to go live at the same time preventing the need for interim integrations with PeopleSoft Financials to keep the systems in sync. In support of the proposed extension, ImageTrend, the Hiretouch vendor, agreed to extend the use of Hiretouch through July 2024.
Enterprise Resource Planning (ERP) Finance project
The initial Cloud ERP review sessions kicked off in May. The first round of application reviews focused on the General Ledger, Accounts Receivables, and Cash Management modules. A key component of the initial sessions was to review the proposed new Chart of Accounts structure and Department codes.
MaineStreet Campus Solutions (CS) Reimplementation project
A series of nearly 40 Business Process Assessment (BPA) Sessions began on April 10 and are scheduled to run through mid-summer. These sessions are geared toward staff who are hands-on Campus Solutions experts within their functional areas. The project team is currently developing a comprehensive document covering every Campus Solutions function, including how each is used and future recommendations. Information learned during the earlier Discovery Sessions provided a solid baseline for many of those functions; conducting the BPA Sessions will help fill in gaps and support the team’s completion of the document, which will be a key tool during the design phase of the project.
